How to share a file with a whole class or team at once

By Thavasi · Updated 31 October 2026

A teacher wants to share notes with 40 students. A trainer wants everyone in a workshop to get the slides. A team wants the event photos. The usual answer is "send it on the WhatsApp group", which means collecting numbers, compressed photos and files that disappear into a busy chat. Here are better options.

Option 1: One code on the screen (same room, same Wi‑Fi)

If everyone is in the same room and on the same Wi‑Fi, you can share straight from your laptop or phone. Nobody needs an account, and you don't need anyone's number or email.

  1. Open wifloshare.com and choose the file You get a 6‑character code, a link and a QR code.
  2. Show the QR code or the code on the projector Or write the code on the board.
  3. Everyone scans or types it Each person taps Download. Several people can download at the same time, and you see each one's progress.
  4. Keep your page open until everyone is done The file comes from your device, so closing the page stops the sharing.

Try it now: open wifloshare.com on both devices. It's free, with no sign-up and no size limit.

How many people at once?

Each person gets their own copy straight from your device, so your device sends the file once per person. Sending a 20 MB PDF to 40 people means about 800 MB leaving your device, which is quick on a good Wi‑Fi network. For a 2 GB video, 40 people would be 80 GB, which would take a long time. A few practical rules:

Option 2: A shared folder link (people in different places)

When people aren't in the same room, upload the file to Google Drive, OneDrive or Dropbox, set the link to "anyone with the link can view", and paste the link in your group chat or class portal. It works from anywhere, but you upload the file first, and it counts against your storage.

Option 3: Google Classroom, Teams or your learning platform

If your school or company already uses one, posting the file there keeps it in one place for later. It's the best choice for files people need to find again weeks later.

Option 4: The group chat

Quick, but WhatsApp compresses photos and videos unless you send them as documents, files are limited to 2 GB, and everything gets buried under new messages.

Which should you use?
